Terms and Conditions
| For your information the following terms
and conditions are stated for organisations working with coMMUni. The following is our ‘Statement of Service’ as at March 2004 to partner organisations that offer volunteer opportunities. It outlines the service we can offer and the types of information we may require. If you wish to discuss any of the details below before agreeing to them please contact the coMMUni office and we will be happy to discuss the document with you. 1. Aims of this statement: 1.1 To allow volunteers from the university staff and student population to undertake voluntary opportunities within local community organisations in a safe and prepared manner, maximising the benefit for the individuals and the community organisations involved. 1.2 It is understood that coMMUni can only promote volunteering opportunities within not-for-profit organisations. 1.3 To establish appropriate opportunities and long term working partnerships between the university and the community. 1.4 This agreement is intended to clarify the working arrangements for referring volunteers through coMMUni to a host organisation. 2. Abbreviations: 2.1 Here after any reference to ‘organisation’ stands for any organisation working with coMMUni. 2.2 The word ‘volunteer(s)’ in this document refers to staff or students referred by coMMUni to an organisation. 2.3 The word ‘opportunity’ is an abbreviation of ‘any voluntary opportunity offered by an organisation’. 3. The organisation agrees to: 3.1 Provide coMMUni, if requested, with the information required to complete an opportunity checklist. 3.2 Complete an induction with any volunteer(s) referred by coMMUni. 3.3 Declare to coMMUni if a volunteer(s) would require a background and / or criminal records check before undertaking any voluntary work. If this is so, it is expected that the organisation will carry out such checks in the normal manner for a volunteer in their organisation. 3.4 The volunteer(s) will be reimbursed direct by the organisation for all reasonable out of pocket expenses as is normal for all other volunteers in the organisation. 3.5 Assist coMMUni in publicising our involvement and support of the organisation by formally recognising our agreement in relevant publicity material the organisation produces, i.e. an annual report. 3.6 Assist coMMUni in the evaluation of the relationship and volunteers referred if requested. 3.7 Inform coMMUni if any other staff member or student from the university (that they know of) volunteers with the organisation / makes contact with the organisation even if they have not been referred by coMMUni. 3.8 coMMUni sharing all information it holds on opportunities with the organisation with Community Exchange (this is within the Greater Manchester only) if coMMUni deem it appropriate. 4. coMMUni agrees to: 4.1 Visit or otherwise contact the organisation before accepting the opportunity in order to ensure as best we can that the organisation’s needs and the role of the opportunity are fully understood by coMMUni. 4.2 Assess volunteer(s) to be referred to the organisation for opportunity and endeavour to make a best-suited match between the opportunity and the volunteer(s). 4.3 Give full details of any volunteer to the organisation upon request but only with the express permission of the volunteer(s). 4.4 Display any opportunity information given by the organisation within the university via established mediums of communication, i.e. website, posters, literature. We reserve the right not to promote certain opportunities if their activity / cause may conflict with the aims and purposes of MMU. 4.5 (If applicable) Negotiate with the organisation to agree to pay upon receipt of an invoice for reasonable expenses relating to a volunteer. Final payments will be negotiated dependant on the needs of each volunteer and we will declare in advance when funds are no longer available. As a guide an organisation could expect up to: · £50 towards travel costs · £25 towards the processing of a CRB check · £75 towards training costs. 4.6 Ensure that coMMUni staff are contactable during normal office working hours (excluding bank holidays) all year round. 5. Concluding notes: 5.1 It is further agreed that coMMUni is not a volunteer recruitment agency it is a signpost service. This means that once a volunteer(s) is involved in an opportunity with the organisation the volunteer(s) conduct and activity is not the responsibility of coMMUni. The volunteer(s) is responsible to and works under the organisation’s normal working practices as would any other volunteer. |
